Accessing Reports

Before we get started it is important to note that only admin's have access to edit or view reports. To access reports, as an administrator, on the navigation bar, click the Site Tools drop-down menu, and then select Reports.

Report Types

Site Activity

Site Activity provides a benchmark for the growth of your site. The report shows the number of pages being created, the number of pages being edited and the number of users signing up for the site.  By default the time frame for the report is 14 days, but you can go as far back as 60 days.

Site Activity is a great report to pick up on trends that you can investigate deeper with the other reports.

Site Activity is limited to the last 500 recent changes made within your site. This includes page renames, moves, restriction updates, deletes, comments, and other page updates. For reference, you can see your site's last 500 recent changes by navigating to the Recent Changes section of your site.

The "Number of days" drop-down option allows you to expand the date range of reported data while still working within the last 500 recent changes. 

Community Scoring

The Community Scoring report provides analytics to ensure your pages are fresh and relevant. The feedback that users provide by giving your articles thumbs up or thumbs down ratings are aggregated on this report so that you have a snapshot of where your quality content is excellent and where there are areas for improvement.  

The Community Scoring report page charts:

  • The scoring distribution, which is calculated by taking the number of pages and their quality rating percentage and mapping it out into an easy-to-read chart.
  • Number of pages that have been rated
  • Your average quality score
  • The percentage of unrated pages
  • Page scoring information, such as; name of page, rating, number of votes, date edited, views, edits and comments. Click on the comments hyperlink to review comments made on the page.

You have the ability to drill into the report through the Report on search query field where you can enter search terms and the report will update to show the corresponding results.

Content Aging

The Content Aging report provides a snapshot of how old your pages are getting, allowing you to refresh and update them or to determine if they are still useful to your audience.

  1. Content Aging chart graphically displays your number of pages and the average editing time.
  2. Number of pages calculated in the report.
  3. Average number of days since the last edit.
  4. The number of pages that haven't been edited in over two years.
  5. Page information, such as; a hyperlink to pages, ratings, number of votes, date last edited, views, number of edits and a hyperlink to comments.

You have the ability to filter the results of the report using the Report on search query.  



The Search report allows you to see what users are searching for along with what they are and are not viewing. On the first screen on the search report, we see the popular search terms along with a table listing out the terms.

Select any of the terms listed in the Search query column to drill down into the search data.

By drilling down into a search term, any article selected after performing a keyword search in the past 30 days is displayed, along with the number of times each article was selected, the last time it was selected during a search, and the article's average position within the search results. The position information also provides min and max columns, so the user can determine the if the article's position has adjusted within the date range selected. 

At the bottom of the report, previously executed queries are displayed which show the last search term someone searched for before searching for the keyword used to .

This allows for greater visibility into what users are searching for, what they are finding, what they are not finding and additional actions you can take as a result.

On top of the documentation benefits, you'll be able to see the terminology that users are searching with, which can be leveraged by your marketing team, along with showing features and functionality that users may be looking for that are not in your product that you can send to your product team.

Reporting provides greater visibility and hard numbers into identifying your site's successes and areas of improvement, along with potential new marketing and product ideas.

When do I use this feature?

The reports provided within MindTouch are great to compare with other systems like support ticketing so that you can see if the categories that users are submitting tickets under are covered by your documentation.
